GUIDELINES FOR AUTHORS - OBJECTS GROUP POSTPRINTS, 2007
Although the OSG Postprints is not a juried publication, we are trying to make it as professional as possible in both content and appearance. Authors are earnestly requested to follow the guidelines. Please note that there are a few changes from last year, some of which reflect the requirements of pdf conversion for CD publication.
- Format for submission: A copy of the text without illustrations is required.
You can (1)
e-mail the text as a Word document and send a CD with individual image files (see below for format) or with a text-plus-images version, (2) send both the text and image files on a CD, or (3) send both the text and text-plus-images versions on CD. Hard copies are no longer required.
To avoid extensive bookmarking in the pdf, images will be incorporated into the text. Please include captions in the text-only version. They will serve as markers for image placement.
Please use the following order for sections of the paper: title, author(s), abstract, text, acknowledgments, endnotes, suppliers, references, author’s address. Postprint papers may include more information than the oral presentation or poster. Note that an abstract is now required. The Postprints does not require an author bio.
Posters do not have to be converted to a formal paper. The submission may consist entirely of illustrations with captions. Images published in the Postprints must have figure numbers and captions, even if they were not used in the original poster.
- Style:
Papers written for oral presentation are often informal and humorous. This is appropriate for meetings but not for professional publication. Please use a reasonably formal style for your submission, and do not use the first person. All papers will be read by at least two people. If the editors feel that there should be substantial changes to address issues of clarity or formality, the author may be asked to do the revisions. If the author refuses to make requested changes, the paper will be withdrawn. The editors do not have time to do major revisions.
- Fonts and Formatting:
Please convert your font (all your fonts, if more than one was used in the original) to Times New Roman (or the closest equivalent), 12 pt., single spaced, with 1" margin on all sides, justify left, not full. Please refer to previous volumes for use of boldface and of caps vs. caps/lower case.
A. We do not use footnotes that appear at the bottom of each page. If you need endnotes, they should be grouped at the end of the text, immediately after acknowledgments. Do not use the special formatting for Endnotes on the pull-down menu. Endnote numbers should be enclosed in square brackets []; do not use superscripts.
B. Sections of the paper may be numbered or not, as you wish. See JAIC for examples. Section headings, if you include them, will appear in boldface.
C. Italics should be used where appropriate in the text and references. Appropriate uses include scientific names, foreign words not used in ordinary English conversation, names of works of art, and names of journals. Italics may also be used for emphasis.
D. Please remove all other special formatting, including other font sizes, color, paragraph formatting, hanging indents etc. Please do not use ‘paragraph spacing’ or any special templates, they made editing very difficult and may block conversion to pdf. Editing in Word is difficult; special formatting can make it nearly impossible. If the editor has problems, the paper will be returned to you with a request for a new version.
Please check every page to be certain that the font color is clearly identified in the dialogue box as black. A blank space in this box will result in odd-colored type after the pdf conversion, and the editor then has to go back and fix it.
Please check File menu > Page Setup >Margins not only to be certain that you have 1” margins on all sides, but to make certain that only the pages you want to appear as Landscape are marked that way. Because of the peculiarities of Word, pages which are marked as Landscape in the dialog box may appear in Portrait mode in the document, but will convert to Landscape in the pdf (and you wondered why it took so long to convert the first two volumes…). Also check that the spacing for headers and footers is 0.5” from the top and bottom.
Please remove all exiting headers, footers and page numbering. If you don’t, they will only have to be removed by the editor before putting in the ones used for the Postprints.
E. Please note several aspects of Postprints style. If authors take care of this themselves, it simplifies the job of the editors. (1) Please use only ONE space at the end of each sentence. This is now standard practice in most professional publications. (2) In figure captions, use the full word and a period, e.g., Figure 2. For text references, please abbreviate, e.g., (Fig. 2).
- Bibliographic references: MUST
follow the format used in JAIC (see vol. 39, no. 3, pp 403-404). This is an AIC requirement for Specialty Group publications and authors who do not submit references using the JAIC system will be asked to resubmit the paper with the proper format. If the JAIC guidelines do not answer a question about reference format, do the best you can and tell the editor when you submit the paper. Note that ‘personal communications’ must identify the person to a reasonable degree, including their professional affiliation or occupation and city/town of residence.
The References section should include only books, articles, etc. that are cited in the text. “References” not cited should be listed as Additional Bibliography.
- Addresses:
At the very end of the paper, please list the full mailing address of each author, including zip code. Phone and fax numbers and E-mail addresses are optional. Even though you sent the paper by e-mail, if you do not include your e-mail address here, it will not be published.
- Suppliers:
Please let readers know where they can purchase materials used, especially if you are using something new or unusual. The name of the manufacturer is optional if the product was obtained through a supplier.
JAIC practice is not to use ® or TM, just the name of the product. The Postprints now follows this practice.
- Illustrations:
There is no limit on the number of illustrations. Please do not go overboard.
There is no firm definition of "overboard", but anything over 35 would certainly qualify. We have more flexibility than most journals, and will try to put in everything you think is important.
All figures MUST have captions. If they did not have captions in the original format (e.g. a poster), then captions should be added for the Postprint submission. Captions should not include information which belongs in the text.
All illustrations must be submitted in electronic format. JPEG is now required unless you can come up with a good reason for an alternative, at a minimum of 300 dpi at publication size, roughly 4x6 (i.e., not at postage-stamp size). Images may be color or black-and-white. OSG is able to convert slides or prints to electronic format. Please tell the editor that you need assistance. Please see #1 above for method of submission.
If you would like illustrations laid out in a specific manner (eg. for a figure with multiple parts), feel free to send an image file showing your preferred layout. But please also include individual image files for the component parts. Joining the separate images in advance does not always make it easier for the editor. Authors tend to forget about allowance for margins.
- Editing:
All papers will be read by at least two editors. Editing will include conversion to a standard format, punctuation, grammar, spelling, misused words and lack of clarity. The editors’ decisions (right or wrong) are final. However, they will call or e-mail authors to check factual information or request clarification.

Deadlines:
In order to allow for editing and still produce the volume within a reasonable time, the early deadline instituted in 2005 is now permanent. There will be no extension on the final deadline even if the editors are behind schedule. For the 2007 volume, all papers should be submitted by Tuesday September 4, 2007. If you notify the editor that you have a problem (illness in the family, for example, or a summer spent in the field) you get an extension to the absolutely final deadline of Monday, October 1, 2007. Nothing will be accepted after this date
Exception: changes of name/address/phone/e-mail may be submitted up to the time that the author responds to the editor’s questions.
